To protect homeowner privacy and reduce misuse of personal contact information while allowing voluntary communication between owners.

Policy

  1. Homeowners’ email addresses and phone numbers are considered private information.

  2. The Association will not distribute email addresses on any homeowner contact list without the owner’s written consent.

  3. Owners may opt in to share their contact information with other owners.

  4. Owners who opt in may withdraw consent at any time, in writing.

  5. The Association may use owner email addresses internally for official HOA communications (notices, newsletters, emergencies).

  6. Distributed Contact information shall not be used for mass messaging.

Hello Owners,

Please find attached MCC’s updated contact list.

To help keep communication clear and to protect everyone’s privacy, the Board adopted guidelines for community-wide emails.

Any announcements or updates meant for all owners will come only from the Board or our property manager. 

Owners should not send mass emails or “reply-all” messages to the community

Your email address will not be shared unless you’ve given permission, and you may opt out of sharing at any time.

Thank you for helping us keep communication organized—and our inboxes sane. Mass emails sent by individual owners can cause confusion, misinformation, and misuse of Association-maintained contact information;

The Board will not respond to group emails.

MCC Association is responsible under Oregon law (including ORS 94/ORS 100) and its governing documents for maintaining orderly, accurate, and reliable communication with its membership; and

Owners shall not use any owner contact information—whether obtained directly or indirectly from Association communications—to send:

  • Mass emails,

  • Repetitive unsolicited emails to large groups of owners.

This includes the creation of private distribution lists using addresses harvested from past HOA email chains (“reply-all abuse,” in plain English).
